Importing and exporting

Whether it’s bringing docs to your project from another knowledge base, or moving from one Document360 project to another, Document360 has multiple options for importing and exporting documentation:

  • Importing a Document360 project
  • Exporting a Document360 project
  • Migrating docs from other knowledge bases
  • Exporting docs to PDF

Importing a Documentation360 project

Previously exported Document360 .zip files can be imported to any project. Importing a Document360 .zip file will import articles, home page styles and configurations, all files hosted in the File Manager, as well as any custom configurations in roles, permissions, notification channels, and any other settings.

To import a Document360 Project:

  1. In Settings, click Import and Export
  2. Click the Import button.
  3. Choose a Document360 .zip file.
  4. Once the .zip file is uploaded, a success message will show along with:
    • The number of categories and articles imported.
    • A toggle to set the imported documentation as drafts or as published.

  1. Choose whether to import files as drafts or published articles.
  2. Click Import.

Import time is based on the file size, if the process is successful, a "Documentation Imported” message will show.

To import a Document360 project, you must first create a .zip file of the project you want to import. To create a .zip file of a Document360 project, see the Exporting a Document360 Project section, below.

Exporting a Document360 Project

Exporting a Document360 project will create a .zip file that contains all articles, home page styles and configurations, all files hosted in the File Manager, as well as any custom configurations in roles, permissions, notification channels, and any other settings.

To export a Document360 Project:

  1. In Settings, click Import and Export.
  2. Click the Export button.

Export time varies based on the size of your project, but will normally take one to five minutes. Once the export is complete, you can:

1. Download the exported documentation.
2. Copy the download link.

Once you’ve exported a project as a zip file, you can import it into another project. For more information on how to do this, see the Importing a Document360 Project section above.

Export as PDF

In some cases, you may want to provide your end-user with offline access to your knowledge base. You can do this by exporting your knowledge base as a PDF.

Premium feature

Export to PDF is a premium feature available in Business, Enterprise, and Enterprise+ plans.

  1. In Settings, open Import and Export.
  2. In Export project to PDF:
    1. File Name: Enter a practical file name.
    2. Project Version: Select which project version to export.
    3. Password: Enter a password to protect the file.
    Password protecting a file isn’t required.
  3. Click Export
  4. Once the PDF has been generated, click the file name to download.
    Export as PDF
Your file will take 5-7 minutes to create depending on your knowledge base size.

Migrating documentation from another knowledge base

Because changing knowledge bases can be tricky and overwhelming, we don’t want you to have to go it alone. The Document360 team has helped customers migrate from platforms such as:

If you want to migrate your existing knowledge base content to Document360:

  1. In Settings, click Import and Export
  2. Click Migrate content from another external knowledge base.
  3. Enter:
    1. External knowledge base link: The link at which your content is currently hosted. For example: docs.yourcompany.com
    2. Platform used: The platform (Zendesk, Intercom, etc.) currently hosting your documentation
  4. Click Submit
