Review reminders

Review reminders help teams deliver the most accurate information to customers and internal teams by alerting project members when an article is ready for a fresh pair of eyes.

Premium feature

Review reminders are a premium feature available in Business, Enterprise, and Enterprise+ plans.


Using review reminders

Create and apply review reminders to flag an article for review immediately, or set the review reminder to trigger on a specified date. You can also apply a review reminder individually or apply to a group of articles.

When an article is in need of review, a red state icon will show next to the article title in the documentation editor.

Creating a review reminder

  1. In an article, click on the review reminder icon.
  2. Enter a reason for the review. Make sure it's descriptive enough to provide context for the team member who will be tasked with reviewing the article.
  3. Select a date for the reminder to trigger.
  4. Click Apply.

Clearing a review reminder

Once an article in need of review has been edited:

  1. Click the Needs review button.
  2. Click Set as Reviewed

Managing review reminders

Applying a reminder to multiple articles at a time

Instead of individually applying a review reminder to multiple articles, project admins can apply one reminder to a group of articles.

  1. In Settings, within the Article Review Reminders section, click Add.
  2. Enter a name.
  3. Select how often the reminder will repeat.
  4. In the Select Articles dropdown, apply filters to choose which articles the reminder will be applied to.
  5. In the Reminder recipients dropdown, select which project members will receive an email notification letting them know that the article needs review.
  6. Click Add.

Batch reminders

You can also add review reminders to a group of articles with Bulk Operations

View all Needs Review articles

You can see every article that with an active "Needs review" state within bulk operations.

  1. Go to bulk operations by clicking Bulk Operations under the Documentation Editor header in the top-left of the dashboard.

  2. Disable the other states from showing in the article list using the corresponding toggles until only your desired state remains.

Marking multiple articles as "Reviewed"

You can mark every article that needs review as "reviewed" within bulk operations.

  1. Go to bulk operations by clicking Bulk Operations under the Documentation Editor header in the top-left of the dashboard.

  2. Disable the other states from showing in the article list using the corresponding toggles until only articles with the "Needs Review" state remain.
  3. Select the articles you want to mark as "reviewed".
  4. Click Set as "Reviewed".
